Privacy policy

In short

  • We collect what we need to look after your lawn: your name and email, where your lawn is and what it's like, what you log, and any photos you choose to add.
  • We never sell your information, and we don't use it for advertising.
  • Some of the services we use are overseas, mostly in the United States. They are listed in section 6.
  • Larry is an AI assistant. What you send Larry, including photos, goes to OpenAI in the United States to produce a reply.
  • You can download your data or close your account at any time from Accounts and billing.

1. Who we are

TurfSense is a registered business name (ABN 54 894 957 393), based in Queensland. In this policy, "we", "us" and "our" mean TurfSense.

This policy explains how we collect, use, share and protect personal information when you use turfsense.com.au and the TurfSense app. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

2. What we collect

  • Your account: your name, preferred name, email address and profile picture. If you sign in with Google, we receive your name, email address and profile picture from Google. We never receive your Google password.
  • Your lawn: its name, suburb, postcode and the location you choose on the map, the outline you draw of it, and details such as grass type, soil, sun, mowing height, irrigation setup and watering schedule, and any renovation plans.
  • What you log: mowing, feeding, spraying, watering and other activities, including products, amounts, dates and notes, and resources you save.
  • Photos you choose to add: a photo of your lawn, and photos you send to Larry or the identification tools. A photo can show your house, people or other things that identify you, so please frame it on the lawn.
  • Your conversations with Larry: what you type and the photos you send. We don't store your chats on our servers. They stay in your browser for that session. If Larry refers a question to us, we keep that question and a summary of your lawn details so we can answer it.
  • Subscriptions and payments: your plan, billing dates and a Stripe customer reference. Stripe handles your card details. We never see or store your card number.
  • Gift vouchers: the buyer's name and email, and the recipient's name and email.
  • Products you submit to the product library.
  • Technical information: our server logs record the page requested, the time and the result, to keep TurfSense secure and to fix faults. Our own logs don't record your IP address. The providers in section 6 may record your IP address and device details when you use their parts of the service.

We don't ask for sensitive information, such as health information. Please don't include it in chats or notes.

3. How we collect it

  • Directly from you, when you set up your account and lawn, log activities, upload photos or talk to Larry.
  • From Google, if you choose to sign in with Google.
  • From the person who buys a gift voucher for you. They give us your name and email so we can send you the voucher.
  • Automatically, as you use TurfSense, through our server logs and the storage described in section 8.

4. Why we use it

  • To run your account and give you advice for your lawn: forecasts, recommendations, seasonal plans and reminders.
  • To let Larry answer your questions and identify grass, weeds and problems from photos.
  • To manage subscriptions and payments, and to deliver gift vouchers.
  • To answer your questions and provide support.
  • To keep TurfSense secure, prevent misuse and fix faults.
  • To improve TurfSense, using combined or de-identified information wherever we can.
  • To send you marketing, but only if you've agreed (section 9).
  • To meet our legal obligations, such as keeping tax records.

We don't sell your personal information. We don't share it with suppliers or manufacturers, and "where to buy" links don't pass on any of your details.

You need an email address to create an account. Without your lawn's location we can't give you weather-based advice.

5. Larry and AI

  • Larry is an AI assistant, not a person. It runs on OpenAI models, which we access through our hosting provider, Replit.
  • When you send Larry a message or photo, we send it to OpenAI in the United States so the AI can reply. With it we send your first name and your lawn details: grass type, suburb, postcode, soil temperature, recent activities and planned products. The photo identification tools work the same way.
  • OpenAI does not use this data to train its models. It may keep it for up to 30 days to monitor for misuse, and longer only where the law requires. Replit may also process it in the United States under its own privacy policy.
  • Larry's answers are generated automatically. No person reviews them before you see them, unless Larry refers your question to us.
  • We don't make decisions about your account or your rights by automated processing alone. Stripe may automatically decline a payment that its systems assess as likely fraud.

6. Who else handles your data

We use these providers to run TurfSense. Each receives only what it needs for its job.

We may also share information:

  • if the law requires it, or to protect someone's safety
  • with our professional advisers, such as our accountant or lawyer, under confidentiality
  • with a buyer if TurfSense is ever sold, in which case we'll tell you first.

7. Sending data overseas

Several of the providers above store or process information outside Australia, mainly in the United States. Before we use a provider, we check that its terms commit it to keeping information confidential and secure. We remain responsible for how our providers handle your information.

Overseas providers are subject to the laws of their own countries. Those laws may require them to disclose information to authorities there.

8. Cookies and storage on your device

  • Sign-in cookies, set by Clerk, keep you signed in. TurfSense can't work without them.
  • One preference cookie remembers whether the side menu is open.
  • Your browser's storage keeps settings such as which lawn you're viewing and which tips you've dismissed. Your Larry chat, including photos, is kept there until you close the tab.
  • An offline copy: the app keeps recent lawn data on your device so it loads quickly on a patchy connection. On a shared device, sign out when you finish.

We don't use advertising cookies, analytics cookies or tracking pixels. If that ever changes, we'll update this policy first and ask before using anything that shares your information with advertisers.

9. Emails and marketing

  • Service emails are part of using TurfSense: receipts, gift vouchers, answers to questions Larry refers to us, account notices and renewal reminders. They don't contain promotions.
  • Marketing emails, such as offers and news, are sent only if you've agreed to receive them. Every marketing email has an unsubscribe link, and we act on it within 5 working days.
  • Every email we send identifies TurfSense and our ABN.

10. Keeping it safe, and for how long

We protect your information in these ways:

  • Connections to TurfSense are encrypted.
  • Sign-in is handled by Clerk, and card payments by Stripe.
  • Photos are kept in private storage that only your account can reach.
  • Access to our systems is limited to the people who run TurfSense.

No system is perfectly secure. If a data breach is likely to cause you serious harm, we'll tell you promptly and explain what you can do. Where the law requires, we'll also tell the Office of the Australian Information Commissioner (OAIC).

We keep your information while your account is open. When you close your account, we:

  • delete your lawn profiles, activity history, photos, saved items and any questions referred to us
  • delete your sign-in account with Clerk
  • cancel any active subscription.

We keep some records after closure:

  • Billing and tax records for 5 years, as Australian tax law requires. These are held with Stripe and by us.
  • Gift voucher records until the voucher expires, then as tax records. If you close your account with time left, we issue a come-back code for it and keep that voucher record, with your email address, until the code expires.
  • Products you submitted to the product library stay in the library, but are no longer linked to you.
  • Backup copies are overwritten within [period to confirm with Replit].

11. Seeing, correcting or deleting your data

  • You can change most of your details in the app at any time.
  • You can download your lawn profiles and activity history from Accounts and billing.
  • You can close your account there, which deletes your data as set out in section 10.

To ask for a copy of the personal information we hold about you, or to correct it, email customer_support@turfsense.com.au. We'll reply within 30 days and won't charge you. We may need to confirm your identity first. If we refuse a request, we'll explain why in writing and tell you how to complain.

12. Google sign-in

If you sign in with Google, we receive only your name, email address and profile picture. We use them only to create your account and sign you in. We don't sell them, use them for advertising or share them, except with Clerk, which runs our sign-in.

TurfSense's use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

You can remove TurfSense's access in your Google Account settings, under third-party connections.

13. Children

TurfSense is not intended for children. You must be 18 or older to create an account. If we learn that we hold a child's personal information, we'll delete it.

14. Making a complaint

If you're concerned about how we've handled your personal information, email customer_support@turfsense.com.au with "Privacy" in the subject line. We'll acknowledge your complaint within 7 days and aim to resolve it within 30 days.

If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

15. Changes to this policy

We'll update the date at the top whenever this policy changes. If a change is significant, we'll tell you by email or in the app before it takes effect.
